Job Description:

Our client is seeking a proactive and organized Personal Assistant to provide comprehensive support to the CEO. The ideal candidate will play a critical role in managing the CEO's schedule, communications, and administrative tasks to ensure the efficient operation of the executive office.

Responsibilities:

  • Manage the CEO's calendar and schedule appointments, meetings, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders, including clients, partners, and vendors, on behalf of the CEO.
  • Coordinate and prioritize incoming emails, phone calls, and correspondence for the CEO, responding or redirecting as appropriate.
  • Prepare and organize documents, presentations, and reports for meetings and presentations attended by the CEO.
  • Assist in drafting and proofreading emails, letters, and other communications on behalf of the CEO.
  • Conduct research and gather information as requested by the CEO to support decision-making and strategic planning.
  • Attend meetings with the CEO, taking notes, and following up on action items as needed.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Provide general administrative support to the CEO, including managing expenses, filing, and organizing office supplies.
  • Anticipate the needs of the CEO and proactively identify opportunities to streamline processes and improve efficiency.

Requirements:

  • Bachelor's degree in business administration, communications, or related field preferred.
  • Proven experience as a personal assistant or executive assistant, supporting senior executives in a fast-paced environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
  • Excellent communication and interpersonal abilities, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion and confidentiality in handling sensitive information and maintaining professional relationships.
  • Ability to work independently and as part of a team, with a proactive and flexible approach to tasks.
